SMOTGO February 2014 Update #2


We continue to refine the site to make it better and easier to use.  The following is a list of the recent updates to the site.  You can see a demonstration of all of these updates at the YouTube video linked below.  They will go live tomorrow 02/27/2014.  If you want to take a look at the preview before then, you can check it out at demo.smotgo.com

  • We have made significant improvements to the copy and paste of parts to a job.
  • You can now add parts, labor, and or saved jobs to a recommendation from the invoice page.
  • The saved job filter and list of saved jobs is maintained for each job/recommendation/quote.
  • All of the inventory management has been consolidated onto one page.  No more jumping from the inventory management to the purchase order, return, history, etc. All previous functionality is still there just consolidated.
  • We have created a new option for the home page.  It allows you to do all invoicing from one page.  No more jumping from invoice to job and back.  This does not replace the original home page but is an option that can be turned on and off at any time.

 


 

A lot of the features on the site come from user feedback.  While we don’t make any promises, we always want to here ideas of how the site can be improved.  So if you have any suggestions, just reply to this email or use the link on the bottom of the site.

SMOTGO February 2014 Updates

SMOTGO February 2014 Updates


There have been a number of changes to the site over the last few weeks.  One of the biggest is not visible to the users of the site.  We have completed setting up the backup server.  This server will take over in the event an issue arrises with the primary server.  The backup server will now take over automatically.  Hopefully this will never happen, but we are now prepared for it.  While the back up server will take over automatically, the whole process does take a few minutes so the site would be unavailable for that period of time.  Here is a list of the recent Changes/Updates. There is also a video posted on YouTube.

  • We have added a few more choices in the way of the print outs (Invoice, Work Request, P.O., etc.)  More importantly we have add the functionality to add an unlimited number of choices.
  • You can now copy and paste parts into a job.
  • You can now add parts and labor to a recommendation on the invoice page.
  • You can view the parts and labor for a job in history on the invoice page and on the vehicle page.
  • With these changes, there is no longer a need to use the job page.  We are considering removing that page.

  • We made some improvement to the appointment and desired pick up dates.
  • You can now create a work request right from the main page.  No need to use appointments or go to the customer or vehicle page.
  • You can now resend or reprint a communication.
  • You can have a copy of a email that you send, sent to you also.
  • You can update the odometer reading after an invoice has been filed to history.
  • We fixed the odometer, mileage correction, actual mileage on the invoice.
  • You can now export customers, vehicles, parts, and invoice history.
  • All sent emails are available for review.
  • You can now add a logo to your estimates and invoices.
  • You can now save pictures / documents with your parts.
  • You can now print estimates, invoices, purchase orders and returns in excel, word, and tiff formats.
  • We have added the first stage of used part functionality.  You can now add used parts.  We are still working on the functionality to add the parts to an invoice / job.
  • There is now a field in the parts list that show the date the last time that part was sold to that vehicle and how many of that part have been sold to that vehicle.

  • The issue with Netscape has been addressed.  Let us know if you experience any other issues with Netscape.
  • We added a new option for starting an invoice/work request quickly.  On the home page above the invoice list to the right is a “more” drop down list.  Drop that down and click new work request.  Then select the vehicle and then ok.  This will create a new invoice/work request for that vehicle.
  • We’ve had some requests for more invoice options.  We plan to create some more options.  Add a logo, a more condensed version, let us know what options you would like to see on the invoices.

We have had several reports of issues with the site when using Netscape.  We are working to address these.  These issue do not appear to be present in Chrome (my preference) or IE.  So if you are a Netscape user, you may want to use one of the others until the issue(s) are resolved.  There have not been many major changes to the front end of the SMOTGO site over the last month.  Most of the focus has been on the back end.  The major part of this has been setting up a second server as a back up.  Currently we can switch over to it manually but we want it to happen automatically if something happens to the primary server.  This should be completed in a week or so.  There has been one addition to the site I want to tell you about.  If you look at the list of parts in a job or on an invoice, you will see a new column all the way to the right.  It will display either N/A or a date and number like 04/25/2013 – 2.  If your customers are anything like ours, they often ask “wasn’t that just replaced” or “has that ever been replaced before?”  If that column says N/A, there is no history of that part being sold on that vehicle.  If it says 04/25/2013 – 2 than that part was last installed on 04/25/2013.  The 2 represents the total number of that part that has been installed, not just the quantity on that date but all of the history.  This is based on the id of the part in inventory or the part number itself.
