Update to Help System July 2014 SMOTGO

You can now search for help on the smotgoinfo site from the SMOTGO site.  In the upper right hand corner of the site, you will see a help link.  If you click on that, there will be a search box to enter what you are looking for.  I have posted a picture below.

In this image I entered tax rate so I could find out how to enter my tax rate.  When you click search, a new window will open up with the results from the smotginfo site.  See next image.

You can see the results for our search in the image.  If there is something you are looking for and you cannot find it, just use the contact link to let us know what you are looking for.

We have made a few small updates to the site.  They are listed below.  At this time, the development of the Advanced Features has been put on hold.  We had hoped to add parts and labor to the site soon, but for several reasons, it just does not make sense at this time.  The major factor is cost.  The quality of the integration and the size of our user base were right behind that.  If we can get a large enough user base and we can get someone to sponsor it, we will revisit it.

The following is a list of the other changes to the site which are demonstrated on the latest YouTube video at May 2014 Update Video.

  • We update the appointment page so you can see the appointments and time off for the current day under one tab, the week under another, the month under another, and all the appoinments under the last.  This also allows the printing of the appoinment list filtered in any way you want.
  • Better parts tracking between the invoice and the purchase orders.  When a P.O. is processed, it will automatically link the parts on the invoice to the P.O. and to your inventory.  Then on the invoice history page, there is a tab for part purchase history.
  • We added a few new estimate and invoice layouts.  These layouts have the part numbers, labor hours and labor rate removed from them.  This makes it a little harder for the consumer to go check for the parts on the internet.  Some users also requested that just the total labor for a job be displayed.


A lot of the features on the site come from user feedback.  While we don’t make any promises, we always want to here ideas of how the site can be improved.  So if you have any suggestions, just reply to this email or use the link on the bottom of the site.

If you have not watched any of the videos, please do yourself a favor and check them out.  At the minimum, watch the quick start guide.  I know a lot of us like to try to figure things out for ourselves, myself included, but your chances of success with SMOTGO will increase dramatically if you spend some time watching some of the videos.  In fact, by watching the videos, I believe you will save more time using SMOTGO then you spend watching the videos.

SMOTGO April 2014 Updates

There have been a few small additions to the site and one large rework.  You can now request and download an archive of all your data in XML format.  I know one big concern users have is access to their information.  XML is an industry standard for exchanging data across all platforms and can be easily read by any software developer.  If at some point you want to move on to some other system, they should be able to easily import your data.  Archiving your data can take several hours.  You go to the Export page, click the request action and an email will be sent to your company email address when it is done. This is demonstrated in the April video. 

The following is a list of the other changes to the site which are demonstrated on the latest YouTube video at April 2014 Update Video

  • We have added a new invoice status.  “On Hold”.  This essentially hides the invoice/estimate from the all list and it is only visible in the On Hold list. 
  • You can now adjust for your time zone.  The server is on EST. You can now set your time zone.  This is most helpful if you are using the time log, but it will also get the appointment date correct if you are entering appointments before or after midnight EST.
  • The last update is the one outlined above.  You now have the ability to export all your data in XML format.    

I have had requests for the ability to text, QuickBooks integration, parts & labor integration, etc.  My plan has been and continues to be for SMOTGO to be free to use.  However, these additional services cannot be add for free, so we have been considering adding this functionality to the site and charging a fee to use that advanced functionality.  The current functionality would continue to be free to use, but if you wanted any of the advanced functionality, you would be charged for that.  I would like to hear what your thoughts are on this.  Would you like to see this functionality added in that way?  Is it something you desire from the site?  And, would you use it?

SMOTGO March 2014 Update

SMOTGO March 2014 Update


Our main focus over the last month was to consolidate some of the page to reduce some of the jumping around from page to page.  Last month we added a new home page option that allowed all the invoicing operation to be done on that page.  No more jumping to the invoice and opening each job.  We also consolidated the inventory page.  This month, we consolidated the customers and vehicles pages.  Everything that was on the customers page and everything that was on the vehicles page, are now on both the customers and vehicles pages.  So, while on the customers page, you can view, add, and edit the vehicle’s info, and on the vehicles page, you can view, add, and edit the customer’s info.

You may also notice some changes from time to time of the names of actions or there positions on the action bar.  This is part of our effort to make actions more self-explainatory and the site more consistent.  We try  not to remove any functionality from the site only add to it.  If you find that something is misssing or feel something could be improved, we would like to hear about it.

The following is a lists of the other changes to the site which are demonstrated on the latest YouTube video at March 2014 Update Video.

  • There have been a lot of changes to the site since it was launched a year ago.  We are working on replacing all the YouTube videos.  The old ones will be left on YouTube, but we will move them to the Archived playlist.  Along with the update videos, we have redesigned the help system on the site.  In case you are unaware, there is a help link in the upper right hand corner of the site.  Previously the video related to that page was embedded into that window.  We have added a directory with links.  These links will take you to the YouTube video and the time mark that related to that subject.  These links will continue to be added as we recreate the videos.
  • We have added a new option to the purchase order processing.  Previously if you wanted a part on a PO to be added to your part inventory list, you set the number to stock above 0.  However, this also set the minimum to that same number.  Now if either the minimum or to stock are above 0, the part info is added and the to stock and or minimum are set accordingly.
  •  The video is going to quickly review the 3 types of parts, misc. part, stocked part, and a non stocked part.
  •  We have change several of the “jump to” to “open”.  Rather than navigate away from the page you are on to look at an item in more detail, it will open the item in a new page.
  • You can now get a quick view of a job from history from the part sales history.
